Cancellation & Refund Policy

• Plans are month-to-month — you can cancel at any time.
• Cancellation stops the next renewal; access continues until the end of the current paid period, after which the organisation is offboarded.
• Annual plans (where taken) run to the end of the paid year unless otherwise agreed.
• On cancellation, new AI work stops, member access is revoked, and your data is retained for the grace period before deletion/anonymisation.

The one-off setup and build fee covers configuration, training and testing work delivered at the start. It is generally non-refundable once that work has begun, subject to the guarantee below and your statutory rights.

The approved commercial model references a 30-Day Setup Guarantee. The exact scope — what is covered, what a client must do to qualify, and whether it refunds the setup fee, the first month, or both — must be finalised and stated here precisely before it is offered.

• Monthly subscription fees already charged are generally not refunded on mid-period cancellation; you keep access to the end of the period.
• Additional workload allowance top-ups are prepaid and non-refundable once purchased, and are never auto-billed.
• Where a refund or credit correction is warranted (e.g. a billing error), it is handled case by case via the payment processor.

Cancel from the billing portal or by contacting the Staffgent team. We will confirm the effective date and the offboarding/retention timeline.
